Program Assistant (Part-Time)

•  Minimum of an Associate’s degree from a regionally accredited institution, or two years of postsecondary
    education in secretarial/related field, or three years of documented successful office administrative work   
    experience required, Bachelor’s degree preferred
•  Ability to demonstrate computer skills as part of the interview process required
•  Proficient use of the Microsoft Office suite including Word, Excel, PowerPoint, and Outlook required
•  Ability to analyze, proof-read and comprehend complex documents required
•  Ability to use analytical software preferred
•  Experience with compilation of complex documents, including hyperlinks, charts, table of contents, etc.
•  Knowledge of regional and programmatic accreditation requirements preferred
•  Comfortable using a web browser (i.e., Internet Explorer) preferred
•  Ability to establish and maintain effective working relationships with students, other employees, and the public
•  Ability to work independently and maintain confidentiality
•  Strong interpersonal skills and work ethic
•  Excellent speaking, writing, and organizational skills
•  Ability to handle multiple tasks
•  Ability to project a professional and congenial demeanor

The Program Assistant shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the J.F. Drake State Community and Technical College Faculty and Staff Handbook
•  Provide appropriate assistance in implementing, monitoring, and evaluating the SPIN-UP grant (Strategic    Plan to Integrate Nanotechnology in Undergraduate Programs) and summer camps
•  Perform advanced clerical duties to support the administration of the office, including typing, filing, copying,
   faxing, answering the telephone, ordering supplies, and mailing and/or distributing letters, memos, and reports
    to internal and external stakeholders
•  Maintain confidentiality of identified sensitive information and of departmental information (survey data,
    program data, etc.)
•  Perform difficult and responsible tasks and recordkeeping functions requiring the exercise of tact, judgment,
    and confidentiality
•  Provide administrative, technical, and clerical support to the Project Director/Principal Investigator as needed
•  Use computer-based information system services, including BANNER, to retrieve and enter data and to assist
    the Project Director/Principal Investigator as needed
•  Maintain all accreditation-related compliance narratives; compile final report
•  Maintain resource document files, in both digital and hard copy format, for accrediting agencies
•  Maintain documentation of retention rates and STEM enrollment
•  Assist with annual updates to planning and reporting documents, including assessment results and grant
    administration reporting responsibilities
•  Maintain the planning calendar and post reminders to appropriate personnel for the distribution of surveys,
    follow-up calls, and email messages
•  Format, edit and revise, as needed, annual reports produced by department
•  Assist with the compilation of complex documents, including reports, plans, and manuals
•  Record meeting minutes as requested
•  Assist with the preparation of STEM camps, presentations, and other grant related activities
•  Use the internet and other resources to conduct research as requested
•  Establish and maintain effective working relationships with other employees and members of the public
•  Attend professional development activities to enhance job skills
•  Participates fully in the institutional planning process and assists in carrying out the overall mission of
    the College
•  Serves on college committees as requested
•  Participates in faculty and professional organizations
•  Retain and submit documentation as requested to support accreditation efforts
•  Perform other work related responsibilities as assigned by the Director of Grants and Workforce Development
    and/or President

   SALARY:                 $20.00 per hour per grant requirements (maximum of nineteen hours per week)
